5. Data Retention
We keep personal data only as long as we need it to provide the service you signed up for, or as required by law. Specific retention rules:
- Notes, tasks, reminders, personal financial transactions: When you delete one of these, it moves to a Recently Deleted bin for 30 days, then it is permanently and automatically erased. You can restore from the bin during the 30 days, or hit “Delete forever” to erase immediately.
- Business financial transactions: When you delete a business transaction it is archived, not erased. Tax law (HMRC 6 years in the UK, IRS 7 years in the US, GST 6 years in India and similar in other jurisdictions) overrides the general right to erasure for business accounting records under GDPR Article 17(3)(b). Archived rows are hidden from your normal views but stay queryable for audit. The data is permanently erased after the applicable retention window.
- Account information: Kept while your account is active. When you close your account, profile data is erased within 30 days. Backup copies are overwritten on a rolling 90-day cycle.
- AI conversations: Stored alongside your account. Deleting a conversation removes it from our database immediately; no copy is retained for AI training.
You can request an export of your data, or immediate erasure of any item not subject to a legal hold, by emailing info@flexibles.ai.
